II.1.5)Short description of the contract or purchase(s)The Fund is looking for a travel agent to supply a wide range of UK and oversees holidays to families caring for severely disabled children living in the UK, who have received a holiday grant. Bookings should be accepted in store, online and over the telephone, and staff should be aware of the difficulties that families face when travelling with a disabled child/children. The ability to book adapted rooms, with appropriate equipment is key, where required by the family.
Protection of grant funding is a priority, so any gift card/voucher scheme must be pay on redemption or prepaid funds must be ring fenced and protected.
A full audit trail must be available, along with relevant management information and the ability to ensure that the disabled child is included on the booking.
The ability to promote the Fund's own travel insurance policy is desirable.
Electronic order files and invoicing are required, in line with the Fund's standard file formats.

II.2.1)Total quantity or scope:The Fund currently awards c13,500 holiday grants per year, but this volume cannot be guaranteed. (Grants awarded are entirely dependent on who applies to us, when they apply, and what they ask for help with.)
Holiday grants during the 2013/14 financial year will be GBP 500, but this can be subject to change.

III.2.1)Personal situation of economic operators, including requirements relating to enrolment on professional or trade registersInformation and formalities necessary for evaluating if the requirements are met: (1) All candidates will be required to produce a certificate or declaration demonstrating that they are not bankrupt or the subject of an administration order, are not being wound-up, have not granted a trust deed, are not the subject of a petition presented for sequestration of their estate, have not had a receiver, manager or administrator appointed and are not otherwise apparently insolvent.
(2) All candidates will be required to produce a certificate or declaration demonstrating that the candidate, their directors, or any other person who has powers of representation, decision or control of the candidate has not been convicted of conspiracy, corruption, bribery, or money laundering. Failure to provide such a declaration will result in the candidate being declared ineligible and they will not be selected to participate in this procurement process.

(6) Any candidate found to be guilty of serious misrepresentation in providing any information required, may be declared ineligible and not selected to continue with this procurement process.
